This Refund Policy governs the cancellation, refund, and transfer of tickets purchased for BSides Mumbai ("BSides Mumbai", "we", "our", or "us"). By purchasing a ticket or registering for any BSides Mumbai event, you agree to the terms of this Refund Policy.

1. General Policy

All ticket purchases are final.

Except as expressly provided in this Refund Policy or where required by applicable law, all tickets and event passes are non-refundable once purchased.

Attendees are encouraged to carefully review all event details before completing their purchase.

Refunds shall not be available solely because an attendee is unable to attend the event. Where permitted by BSides Mumbai, ticket transfers may be allowed in accordance with Section 2 (Ticket Transfers).

2. Ticket Transfers

Tickets are transferable.

If you are unable to attend the event, you may transfer your ticket to another individual by notifying BSides Mumbai prior to the event.

To facilitate a transfer, you must provide the following details of the new attendee:

• Full Name;
• Email Address;
• Contact Number; and
• Any other information reasonably required to update the registration.

BSides Mumbai reserves the right to decline transfer requests that are incomplete, submitted after the notified deadline, or otherwise inconsistent with event requirements.

Once a transfer has been confirmed by BSides Mumbai, the original ticket holder shall no longer be entitled to attend the event using that ticket.

3. Event Cancellation, Postponement, and Changes

If BSides Mumbai cancels the event in its entirety, attendees shall be entitled to a refund of the ticket price paid, subject to applicable law and this Refund Policy.

Refunds will be processed using the original mode of payment, wherever practicable, within a reasonable period after the cancellation is announced.

For the avoidance of doubt, refunds shall not be available if the event is postponed, rescheduled, relocated within the Mumbai Metropolitan Region, or if the programme, speakers, agenda, sponsors, exhibitors, or other event content changes, unless BSides Mumbai expressly announces otherwise or such refund is required under applicable law.

No partial refund, credit, or compensation shall be payable for changes to individual speakers, sessions, workshops, sponsors, exhibitors, entertainment, catering, or any other component of the event.

BSides Mumbai shall not be liable for cancellation, postponement, relocation, or modification of the event resulting from circumstances beyond its reasonable control, including but not limited to natural disasters, epidemics, pandemics, government orders, civil unrest, strikes, acts of terrorism, venue unavailability, or other force majeure events. In such circumstances, BSides Mumbai may reschedule the event instead of issuing refunds, except where required by applicable law.

Where a refund is due, any non-refundable ticketing platform fee, payment gateway fee, convenience fee, or processing charge retained by MeraEvents or the payment processor is either borne by BSides Mumbai or deducted from the refund, as applicable in the circumstances. As of the date of publication of this Policy, the applicable MeraEvents fee is 4.71% of the collected ticket amount.

4. Taxes, Convenience Fees, and Payment Gateway Charges

Unless otherwise expressly stated at the time of purchase, ticket prices are exclusive of applicable Goods and Services Tax (GST).

At checkout, a convenience / payment-processing fee of 1.99% plus applicable GST is charged in addition to the ticket price. This fee is levied for payment processing only, does not form part of the ticket price, and is collected by the ticketing platform and payment processor (MeraEvents) - it is not retained by BSides Mumbai.

Payment gateway charges, platform fees, convenience fees, bank charges, taxes charged on such fees, and any similar third-party transaction charges are non-refundable, even where a ticket refund is otherwise approved. Such charges are not absorbed, reimbursed, or borne by BSides Mumbai in connection with any refund.

5. Travel and Accommodation

Attendees are solely responsible for arranging and bearing all costs relating to:

• travel;
• accommodation;
• local transportation;
• meals; and
• any other incidental or personal expenses associated with attending the event.

BSides Mumbai shall not be liable to reimburse or compensate attendees for any such expenses under any circumstances, including where the event is postponed, rescheduled, modified, or cancelled, except to the extent required by applicable law.

6. Refund Processing

Where a refund is approved under this Refund Policy:

• refunds shall be made only to the original purchaser;
• refunds shall ordinarily be processed through the original payment method used for the purchase, wherever feasible;
• processing timelines may vary depending upon banking institutions, payment gateways, or financial service providers; and
• BSides Mumbai shall not be responsible for delays attributable to third-party payment processors or financial institutions.

7. Fraudulent or Unauthorised Transactions

BSides Mumbai reserves the right to refuse refunds where it reasonably believes that:

• a ticket was obtained fraudulently;
• payment was unauthorised;
• the ticket has been resold or transferred in violation of applicable policies; or
• the purchaser has engaged in fraudulent or unlawful conduct.

Such matters may be referred to the relevant payment service provider or competent authorities where appropriate.

8. Amendments to this Refund Policy

BSides Mumbai reserves the right to amend or update this Refund Policy at any time.

Any changes shall become effective upon publication on the BSides Mumbai website unless otherwise specified.
